Deep Dive Taxes is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information in connection with our tax preparation, bookkeeping, payroll, advisory, and client communications, including SMS messages.


Information we collect

We collect personal information that you provide or that is collected automatically when you use our services.

You provide:

  • Name, phone number, email address, and mailing address
  • Tax documents and financial information required to provide services
  • Communication preferences and your interactions with our website, portal, SMS, phone, or email
     

Automatically collected:

  • Limited technical data such as IP address, device identifier, and basic site usage for security, fraud prevention, and site functionality
  • Cookies or similar technologies for necessary site functions. We do not use cookies for targeted advertising.
     

How we use information

We use personal information to:

  • Deliver tax, bookkeeping, payroll, and related services
  • Communicate about appointments, document requests, portal access, deadlines, and filing status
  • Process billing and maintain accurate business records
  • Respond to questions and provide customer support
    We do not use your information for marketing without your explicit permission.
     

Lawful basis and consent

Where required, we rely on consent, performance of a contract, legal obligations, and our legitimate interests in providing secure and reliable services. If we rely on consent, you can withdraw it at any time.


Data sharing and disclosure

We do not sell personal information and we do not share it for marketing. We share information only with:

  • Secure tax and payroll platforms used to deliver services
  • Client portal services such as TaxDome
  • Authorized service providers who assist our operations under confidentiality commitments
  • Federal, state, or local agencies and other parties as required by law or to protect our rights and users
     

Data retention

We retain information only as long as needed to deliver services and meet legal, tax, and regulatory requirements. When no longer needed, data is securely deleted or de-identified.


Security

We use reasonable administrative, technical, and physical safeguards, including secure client portals for document exchange, encryption, password protections, and role-based internal access. No system is perfectly secure, but we work to protect your information responsibly.


Your choices

You can request access, correction, or deletion of your personal information, subject to legal retention requirements. To exercise these rights, contact support@deepdivetaxes.com.


Children’s privacy

Our services are intended for adults. We do not knowingly collect information from children under 13 without verifiable parental consent.


Changes to this policy

We may update this policy as needed. We will post the revised version with an updated effective date.

SMS COMMUNICATIONS POLICY

Deep Dive Taxes uses text messages only for service-related purposes such as appointment confirmations and reminders, document requests, secure portal instructions, filing status updates, payroll or tax deadline reminders, and customer support. We do not send promotional or marketing messages without explicit permission.


 

Opt-In and Consent

We send SMS messages only to clients who have verbally agreed to receive service-related texts.


We do not send marketing or promotional messages.


How We Obtain Consent


Consent is obtained verbally during a phone call, in-person meeting, or virtual appointment.


Verbal Consent Script:


“To help us stay in touch regarding your tax and accounting services, Deep Dive Taxes, Inc. may send you service-related text messages such as appointment reminders, document requests, secure portal instructions, filing updates, and support messages.


We do not send marketing or promotional texts, and we do not share your phone number with third parties. Message and data rates may apply. You can reply STOP at any time to opt out, or HELP for assistance.


Do we have your permission to send text messages to this phone number?”


Recording Consent

Once the client says “Yes”, we document consent with:

  • Client name
  • Phone number
  • Date and time consent was given
  • Method (phone, in-person, or virtual)
  • Team member who collected the consent
     

Where Consent Records Are Stored

Consent is documented in the TaxDome client profile notes to ensure secure retention and audit traceability.
 

Message frequency and content

Message frequency varies by client need, typically 1 to 5 messages per week. All messages are sent from registered business numbers associated with Deep Dive Taxes and clearly identify the company. Each message includes opt-out instructions.

“Msg and data rates may apply. Reply STOP to opt out, HELP for help.”


Opt-out and help

  • You may opt out at any time by replying STOP. After opting out, we will not send further SMS messages unless you opt back in.
  • For help, reply HELP or contact support@deepdivetaxes.com or (774) 209-1435.
     

Carrier disclosures

Carriers are not liable for delayed or undelivered messages. Message delivery may be affected by your carrier or wireless service.


Record retention for SMS

We retain SMS consent, opt-in, and opt-out records for the duration of the client relationship and for at least four years after the last SMS message or as required for legal or regulatory audits. Records are stored in TaxDome.
